• information required to prepare a quote
• data required for invoicing and compliance with tax obligations
• history of enquiries and bookings
• technical data relating to the use of the website, including IP address, device type, browser, and cookie data, where their use has been authorised by the user
• other information voluntarily provided by the user

Please do not submit information about your health, political opinions, religious beliefs, or other special categories of personal data through the website forms unless this is strictly necessary.

As a rule, we receive personal data directly from the user:

• through WhatsApp or another communication channel selected by the user
• when entering into and performing a service agreement

Providing the contact details required to respond to an enquiry is mandatory. Without this information, we will not be able to process the enquiry or contact the user.

• organisation and performance of cleaning, upholstery cleaning, or another ordered service
• communication with the client during the performance of the booking
• booking management
• handling complaints
• performance of contractual obligations

Legal basis: entering into and performing a contract in accordance with Article 6(1)(b) GDPR.

Accounting and tax compliance

• issuing invoices
• maintaining accounting records
• complying with tax and other legal obligations
• providing information to public authorities where required by law

Legal basis: compliance with legal obligations in accordance with Article 6(1)(c) GDPR.

Protection of legitimate interests

• preventing fraud and misuse of the website
• ensuring information security
• protecting the property, rights, and legitimate interests of EasyClean
• establishing, exercising, or defending legal claims
• retaining a minimum record of interactions for handling complaints and resolving disputes

Legal basis: EasyClean’s legitimate interests in accordance with Article 6(1)(f) GDPR, provided that the user’s rights and interests do not override those interests. The user has the right to object to such processing on grounds relating to their particular situation.

Marketing communications

We may send promotional offers, news, or information about special offers only where there is an appropriate legal basis.

Where the user is not yet a client, such communications are sent on the basis of the user’s prior, freely given, and unambiguous consent in accordance with Article 6(1)(a) GDPR and the requirements of LSSI-CE.

Where the law permits communications to be sent to an existing client regarding our own similar services, the user may opt out free of charge when providing their data and in every subsequent communication.

Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

Analytics and advertising cookies

Analytics and advertising cookies are used only after obtaining the user’s consent.

Legal basis: the user’s consent in accordance with Article 6(1)(a) GDPR and the applicable requirements of LSSI-CE.

Sharing personal data

EasyClean does not sell users’ personal data.

Access to personal data may be provided only to recipients who require it for the relevant purpose:

• EasyClean employees and contractors involved in organising and providing the service
• website hosting and technical maintenance providers
• email, telephone, cloud storage, and communication service providers
• CRM, booking management, and calendar service providers
• accountants, tax advisers, and gestoría services
• banks and payment service providers
• analytics and advertising technology providers, only where the user has given consent
• legal advisers, insurance companies, and other professional advisers
• courts, law enforcement authorities, tax authorities, and other public bodies where disclosure is required by law

Service providers processing data on behalf of EasyClean are required to act under a data processing agreement and implement appropriate security measures.

Where data is shared with a contractor who directly provides the service, only the minimum information required to complete the specific booking is provided.

Data retention periods

Personal data is retained for no longer than necessary for the purposes for which it is processed.

The following indicative retention periods apply:

• data relating to enquiries that did not result in a booking — no longer than 12 months after the last communication
• client data and booking history — for the duration of the contractual relationship
• accounting, tax, and commercial records — for the periods required by Spanish law
• data required to bring or defend legal claims — until the expiry of the applicable limitation periods
• data used for marketing communications — until consent is withdrawn or an objection is made
• analytics and advertising cookie data — for the periods specified in the cookie settings and cookie table

After the main retention period has ended, data may be restricted and retained solely for compliance with legal obligations or the defence of possible legal claims. Once the applicable periods have expired, the data will be deleted or anonymised.

Use of WhatsApp and other third-party platforms

Where the user contacts EasyClean through WhatsApp or another third-party platform, personal data is also processed by the operator of that platform in accordance with its own privacy policy.

The use of such a communication channel is voluntary. Users may contact EasyClean by email if they do not wish to use a third-party platform.

International data transfers

Some providers of technical, communication, analytics, or cloud services may be located outside the European Economic Area or may process data in other countries.

In such cases, EasyClean uses providers only where a transfer mechanism permitted under the GDPR is in place, including:

Where there are reasonable doubts regarding the identity of the applicant, EasyClean may request additional information necessary to verify their identity.

A copy of an identity document should not be provided unless it has been specifically requested and is necessary.

Requests are handled without undue delay and, as a rule, no later than one month from the date of receipt. In complex cases or where a large number of requests have been received, this period may be extended in accordance with the GDPR, and the user will be informed accordingly.

Complaint to the supervisory authority
